HR Coordinator (Contract)

General Accountability
The HR Coordinator provides hands-on operational and administrative support across recruitment, onboarding, offboarding, HRIS administration, and general HR coordination. The role ensures smooth execution of day-to-day HR processes during a period of elevated hiring activity, while maintaining a high standard of accuracy, responsiveness, and candidate and employee experience.
*This is a 6-month contract position.
Duties & Responsibilities
Recruitment & Interview Coordination
- Draft and post job advertisements using approved job descriptions
- Format job descriptions using company templates, including version control and reference numbers
- Coordinate and schedule interviews across multiple roles and candidate stages
- Conduct reference checks and support pre-employment coordination
- Generate ad hoc recruitment-related reports
Onboarding Coordination
- Schedule onboarding sessions and coordinate onboarding logistics
- Create and maintain new hire profiles in HRIS, including email setup coordination
- Coordinate with IT to schedule the new hire system and equipment setup
- Ensure onboarding documentation is complete, accurate, and stored correctly
Offboarding Support
- Upload offboarding documentation to HRIS
- Coordinate scheduling of exit interviews
- Ensure offboarding records and checklists are completed and up to date
HRIS & Administrative Support
- Maintain accurate employee records and documentation in HRIS
- Ensure HR data is current, complete, and audit-ready
- Generate ad hoc employee and HR reports as required
- Provide general administrative support across HR operations
Compliance, Safety & Office Support
- Schedule and follow up on Health & Safety inspections
- Ensure H&S documentation is completed, digitized, and stored appropriately
Ad Hoc & Project Support
- Support ad hoc HR projects and operational initiatives
- Assist with process improvements and documentation where required
Education
Bachelor’s degree in Human Resources, Business Administration, or a related field preferred, or equivalent practical experience.
Key Attributes
- Prior experience in an HR Assistant/Coordinator, or similar HR operations role
- Hands-on experience with HRIS systems
- Strong organizational and coordination skills with attention to detail
- Comfortable managing multiple tasks in a fast-paced environment
- Strong client service mindset and professional communication skills
- Ability to handle sensitive and confidential information with discretion.

The expected base pay range for this role is 26.50 - 31.25 CAD per hour. Actual compensation will be determined based on experience, qualifications, and job-related factors.
