This role is also responsible for professionalizing warehouse operations, implementing robust inventory controls, and ensuring the physical supply chain adheres to ISO 13485 standards.

Duties and Responsibilities:

Global Logistics & Trade Compliance

  • Customs Management: Serve as the primary subject matter expert on international trade. Proactively manage Customs Brokers and Freight Forwarders to ensure seamless clearance of goods and eliminate border holds.
  • Classification & Documentation: Own the accuracy of all shipping documentation. Determine and validate Harmonized System (HS) codes, Country of Origin, and Valuation for all products to ensure compliance with global customs agencies.
  • Regulatory Adherence: Ensure all international shipments comply with national and or regional regulations.
  • Carrier Management: Assist in negotiating rates and Service Level Agreements (SLAs) with global carriers (FedEx, DHL, Freight Forwarders). Monitor third-party warehouses and carrier performance and resolve transit issues immediately.

Warehouse & Inventory Management

  • Inventory Accuracy: Participate in designing and implementing a rigorous cycle count program and year-end physical inventory reconciliation to ensure >99% inventory accuracy.
  • Warehouse Optimization: Optimize warehouse workflows and space utilization to ensure process efficiencies. Implement a strict FIFO/FEFO (First-In-First-Out/First-Expired-First-Out) process to manage the shelf life of medical devices.
  • Process Improvement: Improve processes to transition from manual processes to digital/system-based management (WMS/ERP) to reduce human error.
  • Physical Logistics: Conduct the receiving, storage, picking, packing, and shipping of finished goods and raw materials.

Supply Chain Quality Assurance

  • Traceability: Work with the Quality Assurance team and implement the process for traceability for all inbound and outbound shipments in accordance with ISO 13485 standards.
  • Damage & Returns: Lead the investigation of shipping damages or logistics-related non-conformances (NCRs). Implement root cause analysis to prevent recurrence.
  • Audit Readiness: Maintain a "audit-ready" logistics department, ensuring all shipping records and trade compliance documents are archived and retrievable for regulatory audits.

Education

  • Education: College or a degree in Supply Chain Management, Logistics, or a related field.

Key Attributes

  • Experience: 3+ years of progressive experience in logistics and warehousing in a Medical Device (ISO 13485) or relevant environment.
  • Industry Knowledge: Demonstrated history of shipping internationally and resolving complex customs situations.
  • Trade Compliance: Knowledge of Incoterms, HTS Classification, and Export Administration Regulations (EAR).
  • Systems: Proficiency with ERP systems and shipping software.
  • Quality Standards: Deep understanding of GDP (Good Distribution Practices) and ISO 13485 requirements for storage and distribution.
  • Problem Solver: Ability to troubleshoot customs holds in real-time and navigate bureaucratic hurdles to get products to customers.
  • Operational Leader: A "hands-on" leader willing to organize the warehouse floor while capable of strategic thinking and contributing to logistics plans, and communicating effectively with management.
  • Detail Oriented: Zero tolerance for errors in shipping documentation, which could lead to regulatory risks.
  • Accountability: Adopts an "ownership" mindset and views external issues causing delays or customs holds as problems to be actively solved.
  • Proactive & Transparent Communication: Proactively informs stakeholders (Sales, Finance, Leadership) of potential risks or delays immediately and presents solution options, ensuring no surprises for the customer.
  • Cross-Functional Translator: Ability to translate complex logistics and trade compliance terminology into clear business language for internal teams, ensuring Sales and Finance understand the "why" behind shipping/receiving decisions.
