Position Overview:

Circle is seeking a Contracts Specialist for a permanent, full-time role at the heart of our commercial activity. Reporting to the Legal Operations Lead, you'll support our legal and contracts function by managing agreements with healthcare customers and vendors across multiple jurisdictions. The Contracts Specialist will report to the Legal Operations Lead.

General Responsibilities:

  • Support contract negotiations and assist with redlining agreements, filing, organizing, and responding to internal requests.
  • Draft, format, proofread, and file legal documents, including correspondence, contracts,
    business associate’s agreement (BAA), non-disclosure agreements (NDA), master licensing agreements (MSA), and related materials.
  • Maintain and organize physical and electronic files, ensuring records are accurate, complete, and up to date.
  • Manage calendars and coordinate the contract lifecycle management, including diarizing key contract dates, scheduling meetings, facilitating the signing process through DocuSign, and tracking deadlines and renewal dates.
  • Communicate professionally with internal teams, external customers, and outside vendors, representing the company with a high standard of service.
  • Maintain strict confidentiality of all customer and internal information.
  • Provide general administrative support, including managing correspondence, preparing documents, and assisting with the day-to-day operational needs of the legal team.

Required Skills/Experience:

  • 2+ years of experience as a contracts specialist, legal assistant, paralegal, in-house legal administration, or in a comparable administrative role.
  • Working knowledge of legal terminology and document formatting.
  • Proficiency in the Microsoft Office Suite (Word, Outlook, Excel), Adobe Acrobat, DocuSign, and experience working with electronic document management systems.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Excellent organizational and time-management skills, with the ability to prioritize and manage multiple competing deadlines in a fast-paced environment.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • A genuine interest in technology and artificial intelligence, and enthusiasm for working in a growing medical AI software company.

Beneficial Skills/Experience:

  • Experience with contract negotiation and redlining.
  • Understanding of and experience with large language model (LLM) tools such as Claude or ChatGPT.
  • Experience with contract lifecycle management (CLM) systems (e.g., DocuSign CLM, LexisNexis).

Educational Requirements:

  • High school diploma or equivalent required; an associate's degree, bachelor's degree, or paralegal diploma from SAIT preferred.
